BEFORE YOUR STAY

Payment

Alder Bay Vacation Rentals accepts Visa and Mastercard on its website. A 50% deposit is charged at the time of booking, with the remaining 50% charged automatically 30 days before arrival. Reservations made within 30 days of arrival will be charged 100% at the time of booking. For VRBO or Airbnb’s websites, please refer to their payment and refund policy for bookings, as it may be slightly different than what is posted here.

Check-in / Check-out

Check-in is after 4:00 pm. Check-out is before 11:00 am. Due to a tight cleaning schedule, checkout times will be strictly enforced. You MUST contact us if you need to make alternate arrangements.

Cancellations

Alder Bay Vacation Rentals operates on a 30-day cancellation policy for bookings via this website. Please note this policy may differ from the cancellation policy on Airbnb or VRBO. Reservations cancelled with more than 30 days notice will have their deposit refunded, less a $50.00 cancellation fee. If you cancel with less than 30 days' notice, the entire cost of the rental will be forfeited. Early departure does not warrant any refund of fees paid.

Pets

Dogs are allowed at certain Alder Bay Vacation Rentals properties with a $40 pet fee (plus taxes). Sorry, no cats. Please confirm that your requested property allows dogs BEFORE you reserve. If you bring a dog into a property that does not allow dogs or bring a dog without first advising Alder Bay Vacation Rentals management, Alder Bay Vacation Rentals reserves the right to cancel your reservation, charge a $500 cleaning fee, and the entire cost of the rental will be forfeited. Guests are responsible for cleaning up after their pets. Dogs must be leashed at all times.

Minimum Age

Renters under 19 years of age must have prior approval from Alder Bay Vacation Rentals management.

Maximum Occupants

Renters arriving with more than the allowed number of guests at their rental property (as listed on the properties listing page) will be asked to find alternate accommodations for the extra people. Alternately, and at the sole discretion of Alder Bay Vacation Rentals management, your reservation will be cancelled, and the cost of the entire reservation will be forfeited.

Taxes & Fees

Guests who book a cottage with us will pay the following taxes and fees as part of their reservation:

Goods and Services Tax (GST) - 5%

Provincial Hotel Sales Tax (PST) - 8%

Municipal Regional District Tourism Tax (MRDT) - 3%

Booking Fee - $25

Cleaning Fee - $120

DURING YOUR STAY

Conduct

The individual making the reservation and paying for the rental shall also be responsible for the conduct of all other persons in the rental or on the rental property during their stay- whether a member of their party or not.

Children

Many of Alder Bay Vacation Rentals' properties are child friendly, but they are not necessarily childproof. If you are arriving with children, please check for any hazards that may harm your child.

Smoking

All interior spaces of all Alder Bay Vacation Rentals' properties are smoke-free. Guests are welcome to smoke outside, but please dispose of cigarette butts properly. A $500 cleaning fee will be charged to your credit card if it’s found that you’ve smoked in your unit.

Parking

Your booking includes one free parking space at the unit and one free overflow parking for a boat trailer or second vehicle. Additional vehicles may park at Alder Bay in our general parking area for a fee of $5 per day.

Keys

Instructions for key pick-up are different for each property and will be provided in your confirmation email. There will be a $75 fee for un-returned or lost keys.

Quiet Time

Alder Bay Vacation Rentals' properties are located in a family-type community and camping area. Quiet time is 10:00 pm – 6:00 am and is strictly enforced.

Kitchen

All Alder Bay Vacation Rentals' properties come with a well-equipped kitchen. Bedding linens, blankets, pillows, dishcloths, dishtowels, paper towels, dish soap, dishwasher pods, and toilet paper are also provided. If you need more supplies at any time, don't hesitate to contact the front office.

Bathroom

There will be enough bath towels for each guest in the rental, plus a few extras. We provide shampoo, conditioner, body wash and hand soap.

BBQs

For properties with a BBQ, please shut off all valves and dials, and ensure that all food residue is scraped and/or burned off after cooking. The BBQ should be left ready for the next guest to use when you depart. Any BBQ requiring extra cleaning will apply a $25 charge to your credit card.

Garbage and Recycling

Garbage and recycling must be disposed of in the provided bins. At no time is garbage to be left outside – you are in black bear country! Please don’t leave food outside at any time. The crows will be into it almost immediately during daylight hours, and bears or raccoons could get into it if left overnight.

Weather and Power Outages

No refunds will be given for storms or power outages.

Cleaning

A cleaning fee is charged with each reservation and is based on the size of your rental. We have actually lowered our nightly rates slightly to allow for the addition of the cleaning fee. StayAlderBay.com’s properties are professionally cleaned after each guest, but you are still required to leave your rental in the approximate condition that you found it. Return all furniture, appliances, beds, etc., to their original location Place all soiled towels in the bathtub. Do not strip beds. Clean dishes in the dishwasher or drying rack are acceptable. Place garbage and recycling in the provided containers. Daily cleaning during your stay is NOT included in the rental rate but can be arranged for an additional fee of $30/hour per cleaner, plus tax. If your rental requires additional cleaning above and beyond the normal time allotted, your credit card will be charged an additional fee of $30/hour per cleaner, plus tax, for the extra housekeeping required.

AFTER YOU LEAVE

Damage

Upon your departure, your rental will be assessed for any damage and/or missing items. These items include, but are not limited to:

The property or its contents, beyond normal wear and tear

Linens, towels, and bedding stained or missing

Carpet, wood/tile floor stains

Kitchen counter and appliances

Interior walls, windows, and window coverings

Breakage, theft, or any other damage

A pre-authorization of $250 is held against your credit card and is released five days after check-out. If any deficiencies have been found, your credit card will be charged to recover the costs. You will be notified before the charge takes place. Please note this policy may differ from the damage deposit policy on Airbnb or VRBO.

Lost and Found

Alder Bay Vacation Rentals will not be held responsible for any items left behind. We will do our best to contact you and hold the item for 30 days. If requested, items will be returned at your expense.

Limitation of Liability

Alder Bay Vacation Rentals acts as a Rental Agent only, as each property is individually owned. Neither Alder Bay Vacation Rentals nor the property owners are responsible for any accidents, injuries or illness that occur while on the premises. Neither Alder Bay Vacation Rentals nor the property owners are responsible for the guest's loss of personal belongings or valuables. By accepting this reservation, it is agreed that all guests are expressly assuming the risk of any harm arising from their use of the premises by themselves, their children, their pets, or others whom they invite to use the premises, and hereby waive any claims of liability or negligence against Alder Bay Vacation Rentals or the property owner for any accidents, injuries or illness that occurs while on the premises or its facilities. Alder Bay Vacation Rentals will endeavour to provide the accommodation as described at the time of reservation or to provide alternate equivalent accommodation. There are, however, certain matters that are beyond the control of StayAlderBay.com’s management. They include, but are not limited to:

Loss of accommodation by fire, flood, earthquake, tsunami, or other damage

Changes of ownership or termination of management services

Changes in the law, seizure, or other loss of the accommodation property

Other than issuing a refund, Alder Bay Vacation Rentals will assume no responsibility or liability arising from the accommodation not being available or suitable. Alder Bay Vacation Rentals assumes no responsibility or liability for injury, loss, or damage arising out of the use or occupation of the accommodation.

By making a reservation with Alder Bay Vacation Rentals, you acknowledge that you have read and understood the Terms and Conditions above.
